The steps below outline the different ways you can invite your landlords to PropertyFile.

Inviting landlords upon instruction

  1. Ensure that the landlord has a secure email address
  2. Click Property on the main homebar
  3. Search for the relevant property in the Find bar and click Go. Click View on the relevant record
    1. Alternatively, find and click the relevant property from within the Last Viewed section
  4. On the property Summary tab, click Put on Market
  5. Tick the landlords name in the PropertyFile section
  6. Click Save

The landlord will be sent an email invite, which includes a link to an activation page where they can start using PropertyFile. 

Inviting landlords from their contact record

You can also manage the landlords permissions from their contact record.

  1. Click Landlords on the main homebar
  2. Search for the relevant landlord in the Find bar and click Go. Click View on the relevant record
    1. Alternatively, find and click the relevant landlord from within the Last Viewed section
  3. Click the PropertyFile tab
  4. Click Edit PropertyFile Sharing
  5. Tick or untick the Landlord to share the property with them
  6. Click Save

To stop sharing PropertyFile with a landlord, remove all their shared settings and their account will be disabled.

Resend invite email or reset password email

You can resend a PropertyFile activation either by resending the invite email or by sending a password reset.

  1. Click Landlords on the main homebar
  2. Search for the relevant landlord in the Find bar and click Go. Click View on the relevant record
    1. Alternatively, find and click the relevant landlord from within the Last Viewed section
  3. Click the PropertyFile tab
  4. Click Resend PropertyFile Activation. This sends an invite/reset password email which they can use to change their password

 Note

  • Landlords need to choose a strong password that is at least 8 characters long. It needs to contain upper and lowercase letters and at least 1 number
  • Once PropertyFile is shared, the Email Address field will be locked and greyed out, and can only be changed when PropertyFile is unshared
