The steps below outline the different ways you can invite your tenants to PropertyFile.

Inviting at application stage
- Ensure that the tenant has a secure email address
- Click Applications on the main homebar
- Search for the relevant application in the Find bar and click Go. Click View on the relevant record
- Alternatively, find and click the relevant application from within the Last Viewed section
- Alternatively, find and click the relevant application from within the Last Viewed section
- On the application Summary tab, click Landlord Accepted Offer
- Tick the tenants name in the PropertyFile section
- Click Save
The tenant will be sent an email invite, which includes a link to an activation page where they can start using PropertyFile.
Invite from an existing tenancy
You can invite tenants at any time from application through to active tenancy. To do this:
- Click Tenancies on the main homebar
- Search for the relevant tenancy in the Find bar and click Go. Click View on the relevant record
- Alternatively, find and click the relevant tenancy from within the Last Viewed section
- Alternatively, find and click the relevant tenancy from within the Last Viewed section
- On the tenancy Summary tab, in the Tenancy Details section, click Edit Details
- Scroll down to the PropertyFile section and tick the names of the tenants you want to invite
- Click Save
The tenant will be sent an email invite, which includes a link to an activation page where they can start using PropertyFile.
Invite tenant from their contact record
You can also manage the tenants permissions from their contact record.
- Click Applicants on the main homebar
- Search for the relevant applicant/tenant in the Find bar and click Go. Click View on the relevant record
- Alternatively, find and click the relevant applicant/tenant from within the Last Viewed section
- Alternatively, find and click the relevant applicant/tenant from within the Last Viewed section
- Click the PropertyFile tab
- Click Edit PropertyFile Sharing
- Tick or untick the applicant/tenant to share the property with them
- Click Save
To stop sharing PropertyFile with an applicant/tenant, remove all their shared settings and their account will be disabled.
Resend invite email or reset password email
You can resend a PropertyFile activation either by resending the invite email or by sending a password reset.
- Click Applicants on the main homebar
- Search for the relevant applicant/tenant in the Find bar and click Go. Click View on the relevant record
- Alternatively, find and click the relevant applicant/tenant from within the Last Viewed section
- Alternatively, find and click the relevant applicant/tenant from within the Last Viewed section
- Click the PropertyFile tab
- Click Resend PropertyFile Activation. This sends an invite/reset password email which they can use to change their password
Note
- Tenants need to choose a strong password that is at least 8 characters long. It needs to contain upper and lowercase letters and at least 1 number
- Once PropertyFile is shared, the Email Address field will be locked and greyed out, and can only be changed when PropertyFile is unshared
